Job Overview:

 

GaN is looking for a rockstar Receptionist to join our team in Huntsville, AL. This position will be part-time with the potential to grow into full time. No weekends, evenings, or holiday work is required. This position will be of a mentor-type nature, serving to enhance candidates on the job with exposure to a variety of situations and build resume experience. Your primary functions as a Receptionist will be to greet and welcome our visitors, answer our phones, place lunch orders, and deliver messages. Our customers will look forward to interacting with you!

 

As an extroverted, friendly, and chipper front desk professional, you will be the face of GaN. A successful Receptionist will be highly energetic and hospitable while executing excellent skills in multi-tasking, problem-solving, and communication. They will be well-spoken and professional/polished in appearance.

 

Responsibilities

This position will provide support services to various groups, assist in setting up on-site events, provide filing support, ensure consistent services and sufficient supplies, obtain facility bids as necessary, filing, copying, and telephone etiquette.

Successful candidates will demonstrate the ability to maintain confidentiality, strong written and verbal communication skills with co-workers and customers, a commitment to professional ethics, possess a demonstrated ability to work in a team environment and meet goals promptly. Other important skills include strong interpersonal and human relations skills with the ability to interact appropriately with a wide variety of personality types, and the ability to correspond effectively both orally and in writing using proper English grammar. Other duties are listed below:

  • Greets and directs customers and visitors.
  • Makes appointments and referrals.
  • Answers phone calls and emails.
  • Performs data entry and filing tasks for accounts payable, purchase orders, equipment inventory, and confidential employee or departmental files.
  • Maintain a professional and welcoming appearance of all common areas: reception area, conference rooms, and breakroom.
  • Stocks breakroom and conference rooms.
  • Maintains office and breakroom supplies.
  • Receives, records, and distributes packages and mail.
  • Compiles budget data and maintains financial records as requested.
  • Copies, collate, and otherwise prepares reports for mailings, meetings, and other correspondence.
  • Performs other related duties as assigned.

Qualifications

Requirements (minimum):

  • High school graduate
  • 1 year of clerical/administrative work experience
  • Proficient in Microsoft Office Suite or similar software
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently to identify and solve problems
  • Ability to organize and prioritize work
  • Ability to manage, multi-task, and follow up on open requests with little supervision
  • Ability to learn new skills and accept additional responsibilities
  • The position has prolonged periods sitting at a desk and working on a computer
  • Must be able to lift to 50 pounds at times
